The Extractor accepts PDFs, spreadsheets (CSV), Word documents (.doc and .docx), and images (JPEG and PNG). You can also paste text directly — like chat transcripts or notes from a client call — and the Extractor will process that too.
You can upload up to 15 files at a time, with a maximum file size of 200 MB per file.
Supported File Types
Type | Formats | Common Examples |
PDFs | Brokerage statements, insurance declarations pages, tax returns, estate documents | |
Spreadsheets | .csv | Account data exports, holdings lists, balance summaries, CSV exports from other planning tools (RightCapital, eMoney, MoneyGuidePro, etc.) |
Word documents | .doc, .docx | Financial plans, client notes, planning summaries |
Images | .jpeg, .png | Screenshots of statements, photos of paper documents |
Pasted text | Plain text (no file needed) | Chat transcripts, call notes, email threads |
How to Upload
Go to Clients, click into a client, then click Documents in the left sidebar. You'll see the upload area at the top of the page. Drag and drop files, click to browse, or paste directly.
To paste text, use the text input field below the upload area. Kerdora converts it into a text file automatically.
To paste an image, copy a screenshot to your clipboard and paste it directly into the upload area — no need to save it as a file first.
Tips for File Quality
Cleaner files produce better results. A well-formatted PDF statement will extract more accurately than a blurry photo of a printed page.
Spreadsheets work great for bulk data. If you have account holdings or balances in a CSV, the Extractor will pick those up quickly.
Screenshots are fine when that's what you have. The Extractor can read text from images, so a screenshot of an online account summary works.
Combine file types in one upload. You can mix PDFs, spreadsheets, images, and pasted text in the same batch. The Extractor processes them all together and cross-references the information.
Switching from another planning tool? Export your client data as a CSV from your current platform (RightCapital, eMoney, MoneyGuidePro, etc.) and upload it to the Extractor. It'll pull out accounts, balances, holdings, and other data it recognizes.
What If My File Type Isn't Listed?
If you have data in a format that isn't listed above — like an Excel file (.xlsx) — try exporting it as a CSV first. For any other format, copy and paste the relevant information into the text input field. The Extractor can work with plain text just as well as uploaded files.
What to Do If Extraction Doesn't Work
Sometimes the Extractor doesn't pull data correctly, or it seems like nothing was extracted. Here are a few things to check:
Check the file quality. Scanned PDFs, low-resolution images, or heavily formatted documents can trip up extraction. If the text isn't selectable in a PDF (try highlighting it), the Extractor is relying on image recognition, which is less accurate.
Try a different file format. If a PDF isn't extracting well, try exporting the source document as a CSV or copying the key data into the text input field instead.
Review what was extracted. After extraction, go to the review screen to see what was pulled. Sometimes data was extracted but ended up in a different category than expected (e.g., an investment account showing up under a different account type).
Re-run the extraction. If extraction failed or missed data, you can select the document in the Documents tab and click Start Extraction to try again. Adding instructions in the text field (like "This is an Ameriprise brokerage statement") can help the Extractor interpret the document correctly.
Break up large documents. If you uploaded a single large PDF with many pages, the Extractor might perform better with smaller, focused documents. Try splitting it into sections (e.g., separate the investment statements from the insurance declarations).
If you've tried the above and extraction still isn't working, reach out to support through the chat widget. Include the file type, a brief description of what you expected, and what actually happened (or didn't).
