Office: Your Advisor-Only Home for Each Client

Open Office inside a client file for household summaries, Notes, Plan Cleanup, and Tasks. Office pages are advisor-only, but some information managed there can be shared with clients.

How do I review a client in Office?

On Office → Home, an advisor can review a household before opening detailed planning pages.

  1. Open a client and select Office. Office opens Home.

  2. Review the household header, financial objective, portal-access information, and Plan snapshot.

  3. Open Notes for context, Plan cleanup for data findings, or Tasks for follow-up work.

  4. Follow a summary to its source page when an amount or conclusion needs investigation.

Office's permanent views are Home, Notes, Plan cleanup, and Tasks. Use Profile to correct source records, Planning to inspect calculations, and Guides to prepare client explanations. Office gathers context for a review; it doesn't replace checking a client's facts and assumptions.

What does Office Home summarize?

Office Home summarizes a client’s financial position, cash flow, goal funding, investment allocation, and planning dates.

On Office Home, Plan Cleanup, Insights, Changes, and Tasks show open counts and open their lists when selected. Changes and Tasks can also show overdue or due-soon counts.

Plan snapshot shows assets, liabilities, net worth, and goal funding. Annual cash flow divides income into Taxes, Savings, Giving (when enabled), Debt, and Expenses, with a Surplus or Deficit. Liquidity shows runway in months, cash on hand, and cash net of credit cards.

Taxes shows effective and marginal rates from the current tax scenario. Insurance indicates whether policies need changes. The Retirement button shows retirement ages or a message that the goal or ages aren’t set.

The Planning calendar lists upcoming planning dates. Follow summaries to their source pages to check assumptions. If you select Ask Dora from Office Home, compare its answer with the client’s records before relying on it.

How do I use the Planning calendar?

Office Home's Planning calendar gathers dates from one household's plan, including dated Tasks, Changes, goals, and planning milestones. Select an entry to open the related page rather than editing dates directly in the calendar.

  1. Open the household's Office → Home and find Planning calendar.

  2. Select its filter icon. Choose Date range: Next 30 days, Next 90 days, Next 6 months, or Next 12 months.

  3. Under Event type, select the kinds of entries to show. Available choices depend on that household's recorded dates; leaving all types unselected shows all types.

  4. Select an entry to open its source: a Task opens Office → Tasks, a Change opens Changes, a goal date opens that goal, and other dates open the matching Profile or Planning page.

Overdue entries remain separate from upcoming dates. Clear restores all event types and Next 30 days. These controls don't reschedule work or send reminders.

Correct a date in its source record, then check the calendar again.

What do Office Home’s household and portal indicators mean?

Office Home’s household header shows adult members, portal-access indicators, a financial objective, and a last-updated date. The date refers to saved plan updates; it doesn’t mean every bank connection has refreshed.

Each adult’s chip shows a green dot for an active portal login and an amber dot otherwise. Amber also appears for an adult who was invited but hasn’t signed up, even though the hover text says “Not invited to the portal.” Select an adult’s chip to manage portal access on Profile → Household. What does connection health on Office Home mean?

Office Home's connection-status button summarizes institution connections, rather than counting individual accounts or holdings. It combines Plaid connections with older MoneyKit connections that haven’t yet moved to Plaid.

“Checking connections…” means status is loading. “Connections unavailable” or “2 connections · status unavailable” means a status request failed; neither message means the household has no accounts. “No linked accounts” means the loaded summary contains no connections.

“2 connections · 1 importing” means initial data is still arriving and no attention condition takes priority. “2 connections · 1 needs attention” identifies a connection to inspect. “2 connections · all healthy” means this summary reports no attention condition; it doesn't promise a common update time or complete history for every account.

  1. On Office → Home, select the connection-status button in Plan snapshot.

  2. Expand the relevant institution on the linked-accounts page.

  3. Read its status and available balance, transaction, and holdings sync details before deciding what needs correction.

If an institution card shows Review accounts or a count such as Review 2 accounts, the advisor can select it and finish account review. For Needs reconnecting, Consent expiring, or Access revoked, the client must use Reconnect in the portal to sign in to the institution again; the advisor has no Reconnect button. Don't create duplicate accounts just because a status check is unavailable.

How do I add or edit Notes in Office?

On Office → Notes, advisors can write general household notes or edit notes attached to plan records.

  1. Open Office → Notes and select New note. Enter a title or text, check the eye control (new notes start as Internal only), then select Add note. Select Cancel to discard the draft.

  2. Select an existing note to edit it in place. Edits to existing notes save automatically.

  3. Use the arrow button, Go to source, to open the account, goal, income, or policy that a plan note belongs to.

For a general note, Keep this note open while you work opens a floating workspace so you can refer to it on another page. Check a note’s eye control before including client-sensitive material.

How do I review Notes and their client visibility?

On Office → Notes, advisors can review general notes, notes attached to plan records, and document notes or client upload messages.

  1. Open Office → Notes for the household.

  2. Use Filter notes to choose General, Plan, or Documents, and a visibility filter when needed. Open a note to read its context.

  3. Check its eye control before sharing sensitive information. Its description says either “Internal only” with an action to make it client-visible, or “Visible to client” with an action to make it internal.

  4. Select that eye control only when you intend to change who can see the note.

Client upload messages don't have that visibility control. A client-visible note can be used on a supported client-facing surface; sharing a note doesn't itself share a hidden document. Office remains advisor-only even when an individual note is shared.

How do I edit Guide Template Fields from Office?

On Office → Notes, the Template Fields area lets an advisor enter client-specific text, images, or video links for reusable Guide fields.

  1. Open Office → Notes and find Template Fields.

  2. Edit a text field, change an image field, or enter a Client video link for this client. Changes save automatically. These edits update the client's field values, rather than the practice's field definition.

  3. Use View History when a field has previous values to inspect.

A field uses its default content when this client has no saved value. If no fields exist, Go to guide fields opens Templates → Guides → Snippets, where the practice defines those reusable fields.

Treat Template Fields as potential client-deliverable content. A Guide that uses a field can display its value; keeping the editing page inside Office doesn't make that content private once included in a client-visible Guide.

How do I use Plan Cleanup?

On Office → Plan cleanup, advisors can investigate missing or inconsistent information identified by plan-readiness checks.

  1. Open Office → Plan cleanup. Its title count shows open findings; groups marked “Blocks analysis” come first.

  2. Select a finding group to expand it.

  3. Where editable fields appear, enter confirmed values for premium, coverage, deductible, interest rate, payment, balance, or model portfolio. Select Save change or Save changes.

  4. Otherwise, follow the row’s named button, such as Open account, Open debt, Open policy, or Open household, and correct the source record.

  5. Use Dismiss only when a finding doesn’t apply to this client. Dismissal doesn’t change the client’s data.

An empty list doesn't always mean every check passed. Plan Cleanup distinguishes checks that couldn't be evaluated, findings that remain handled or dismissed, and a result with no material cleanup issues found.

Plan Cleanup concerns data quality. Planning Insights concern possible opportunities or concerns in a plan. Neither replaces professional review, and dismissing a finding isn't the same as fixing the source information that triggered it.

How do I manage a client's Tasks in Office?

On Office → Tasks, an advisor can add follow-up work and edit responsibility, due dates, and completion.

  1. Open Office → Tasks for the household.

  2. Select New task and enter its description in the new row.

  3. Set the row’s assignee (your name or the household’s name) and due date. New tasks initially belong to the advisor.

  4. Mark completed work using its completion control; use the completed-task list when reviewing finished work.

Use a row’s Open task arrow to edit its details and inspect its linked Change in a drawer. Search, filters, and sorting help locate a task. Select rows with their selection checkboxes to use Mark complete, Reopen, Assignee, Due date, or Delete in the selection bar. Due date → Clear due date removes a deadline. Row and selection-bar deletions apply immediately and offer Undo in a message; the drawer's Delete still asks for confirmation.

A Task records work someone must do. A Change records a planning decision or recommendation. Client-assigned Tasks appear in the client's Tasks area. Advisor-assigned Tasks can still appear in a Guide's Tasks block or linked What matters blocks, so check Guide content before sharing. Tasks: Create, Assign, and Track Client Work explains selection, linking, and Undo.

Where does Plan Setup fit with Office?

Plan Setup is a separate, temporary destination for an advisor setting up a client's plan. Its phases are Add information, Client profile, Plan, and Review & deliver.

Office remains available for ongoing review, Notes, Plan Cleanup, and Tasks. Completing Plan Setup removes its temporary navigation item; it doesn't remove client information from permanent workspaces.

Use Profile for household facts and source records, Documents for uploaded files, Financials for financial summaries, Planning for Goals and other analysis, Visualize for visual explanations, and Guides for client deliverables. Clients don't gain access to Office by completing onboarding or by receiving a Guide. Check each note's visibility and each Task's assignee separately.

In Present mode, Office is hidden from the sidebar. Exit Present mode to return to this advisor workspace.
