Tasks: Create, Assign, and Track Client Work

When should I use Tasks instead of Changes or Insights?

Use Tasks for work someone needs to carry out, such as sending paperwork or uploading a statement. A Task has a description, advisor or client responsibility, an optional due date, and a completion status. Open a household, select Office, then Tasks to manage that household's work.

The practice Tasks page gathers work across households you can access.

Changes hold planning recommendations; open Changes in the household sidebar. Insights are findings to review under Changes → Insights. Creating a Task does not create a recommendation or resolve an Insight.

How do I create a Task for one household?

Create a Task from the household's Office Tasks table. Selecting New task immediately adds an open, advisor-assigned row; there is no final Create button in this table.

  1. Open the household, select Office, then Tasks.

  2. Select New task.

  3. Enter the work in the Task field, then leave the field to save the description.

  4. Select the Assignee field and choose the advisor or household option.

  5. Select Add due date… and choose a day. The calendar closes and the date saves. To leave a new Task undated, close the calendar without choosing a day.

The household table normally labels the assignee choices with your name and the household's name. The choices represent advisor or client responsibility; they do not select an individual adult or a different staff member.

Row edits save as you finish each field. A blank row is already a Task. Delete an accidental row with its trash icon. Deletion is immediate; select Undo in the message if you removed the wrong Task.

How do I capture a Task while working on another household page?

Use the household header's New task control to enter a Task without leaving the planning page. Unlike the Office table, the header form waits for Create before adding the Task.

  1. In an open household, select the square-check icon labelled “New task.” On a smaller screen, open the three-dot menu labelled “More advisor actions” and select New task.

  2. Enter Description.

  3. Choose Assignee: the advisor option or Client.

  4. Enter Due Date (Optional) if the work has a deadline. Check the year as well as the month and day.

  5. Select Create.

The Task is added to that household's work list. A description is required. Cancel discards the form draft.

If creation fails, use “What should I do if the header New task form reports an error?” for the recovery steps before trying Create again.

What should I do if the header New task form reports an error?

If the household header's New task form says “Task could not be created. Try again.”, keep the draft and avoid selecting Create again immediately. A retry can create a second Task.

  1. Copy the description, assignee, and due date somewhere you can keep them while the save problem is checked.

  2. Note the household, the error message, and when it happened. A Task appearing in Office → Tasks is not proof that it saved successfully.

  3. Contact Kerdora Support with those details before recreating the Task.

After some connection or server failures, the first creation can remain pending and save later. Selecting Create again starts another Task rather than retrying the same record. Closing the form with Cancel clears its draft; it does not undo a creation already attempted.

Keep the original work details until you know which record was saved.

How do I manage Tasks across households?

Open the practice Tasks page to review work across households you can access. Every Task still belongs to a household; this page does not create standalone firm administration work without a client.

  1. Select Tasks in the main practice navigation.

  2. Select New task, then choose the household from the menu.

  3. Enter the description in Task and leave the field to save it.

  4. Choose Advisor or Client in Assignee.

  5. Select Add due date… and choose a day to set an optional deadline. The calendar closes and the date saves.

The new row starts open and assigned to the advisor. The same Task belongs to the selected household's Office Tasks list. Select the household's name in a row to open its client file.

Use the practice queue for cross-household follow-up. Open Office → Tasks inside a household when you need a Task's linked recommendation; select its Open task arrow to see the Change in the drawer.

Can I create a Task from a note?

An advisor can create a household Task while reading a saved General note in Office Notes or the Notes workspace. Plan notes and Documents notes don't have this control. Add task opens a blank task form; it doesn't convert the note into a Task or copy the note's text.

  1. Open the household's Office → Notes and select a saved General note. Or select the household header's Notes icon; in a narrower window, open the three-dot menu labelled “More advisor actions” and select Notes, then select a saved General note.

  2. Select Add task in the note editor.

  3. Enter Description, choose Assignee, and optionally set Due Date (Optional).

  4. Select Create. The form closes after successful creation; find the Task in Office → Tasks.

The Task is separate from the note and has no automatic link back to it. Include enough context in the description for the assigned person to act. Creating a client-assigned Task doesn't change the note's visibility.

If the form says “Task could not be created. Try again.”, use “What should I do if the header New task form reports an error?” before selecting Create again; the note's form works the same way.

How do I create a Task linked to a Change?

Create the Task from the relevant Change to link implementation work to a recommendation. An advisor can also attach an existing Task through its drawer in Office Tasks.

  1. Open the household and select Changes.

  2. Find the recommendation and select + task. If it already has Tasks, select its task-count button to expand the list, then select Add task.

  3. Enter the Task description and leave the field to save it.

  4. Choose its Assignee and optional due date.

  5. Open Office → Tasks, use the Task row's Open task arrow, and check the Change section in its drawer.

Alternatively, open a Change's drawer and select Add task in its Tasks section. The linked Task starts advisor-assigned. Completing it does not automatically complete the Change, and completing a Change does not complete its Tasks. Deleting a Change preserves the linked Tasks but removes their connection to that recommendation.

How do I open a Task's details or attach it to a Change?

In a household's Office Tasks table, the Open task arrow opens a drawer with the Task's details and links. The practice Tasks table does not open this drawer; open the household's Office Tasks page first.

  1. Open Office → Tasks and select the row's Open task arrow.

  2. Edit Task, Assigned to, or Due date. Changes save as you edit; there is no final Save button.

  3. In Change, select Add to a change and choose the recommendation if the Task is not already linked.

The drawer shows Done for completed work, plus Last updated and Created. A linked Change appears in its Change section; select its text to open that recommendation. Use the remove control labelled “Take this task off the change” to detach it without deleting either record. The drawer's arrows move through Tasks in the list you opened.

How do I link a Task to what matters to a client?

In Office Tasks, an advisor can link a Task with no Change to the household's objective, values, goals, or concerns. A Task already under a Change follows that Change's What matters links instead.

  1. Open the Task's Open task drawer from Office → Tasks.

  2. In On What matters, select Link to a goal, value, or concern and choose the relevant entry.

  3. Check that the entry appears. Links save immediately; use the entry's remove control to undo a direct link.

You can also open an item on What matters and choose Link a task for existing work or New task for new work. Separately linked tasks must have no Change. When a Task is attached to a Change, its previous direct links stop displaying; review the Change's links instead.

How do I update several Tasks at once?

Office Tasks and the practice Tasks page let advisors select rows and act on them together. Selection is separate from a Task's completion checkbox; the portal Tasks list does not offer this bulk bar.

  1. Point to a row and select its selection checkbox, labelled “Select” followed by its description. Select more rows, or use “Select all tasks in this list” in the table header.

  2. Use Mark complete or Reopen, Assignee, Due date, or Delete in the selection bar.

  3. For dates, choose Today, Tomorrow, Next week, Pick a date…, or Clear due date. Changes apply immediately.

  4. Use Undo in the message to reverse the last action while it remains available.

With rows selected and focus outside a text field, A opens Assignee, Shift+C completes or reopens, Shift+D opens Due date, and Command+Backspace on Mac or Ctrl+Backspace on Windows deletes. Command+Z or Ctrl+Z uses the available Undo. The next action replaces the previous Undo message, so check the selected rows before continuing.

Dora is using the wrong year for tasks. How do I check or correct a due date?

Check the saved Task's due date, including the year, in Office Tasks or the practice Tasks page. Editing the saved date corrects that Task; it does not diagnose why Dora chose the date.

  1. Open the household's Office → Tasks and find the Task.

  2. Select its existing date in Due date, or Add due date… if no date is set.

  3. In the calendar, select the year beside the month name, choose the intended year, and select the intended day. Use the calendar arrows to change months if needed.

  4. After the calendar closes, check the full date displayed in the row, including the year.

Changing the calendar's year alone only changes which dates you are viewing; select a day to set the Task's date. Choosing a day closes the calendar and saves the new date; there is no separate Save button.

To remove a deadline in Office Tasks or the practice Tasks page, select the row with its selection checkbox, then choose Due date → Clear due date in the selection bar. This saves immediately and offers Undo.

An unfinished Task with a date before today is overdue. A Task due today is not included by the Overdue filter. For a recurring Dora date problem, use Using Dora or Settings, Billing & Troubleshooting; include the requested date and the date actually saved.

How do I search and filter Tasks?

Task search and filters narrow the work list without changing the Tasks. Open Tasks and completed Tasks are separate groups, so a completed item may be hidden until you expand its group.

  1. Open the practice Tasks page or a household's Office → Tasks.

  2. Select the magnifying-glass icon labelled “Search tasks” and enter part of the description. The practice page also searches household names.

  3. Select the filter icon labelled “Filter tasks.” Choose All assignees, Advisor, or Client, and Any due date, Overdue, or No due date. The practice page also offers All households or a specific household.

If a Task is missing, remove the search text, select Clear in the filter panel, and expand Completed if present. Clear resets filters; it does not remove search text or reset sorting. If the practice queue still looks incomplete, check the household's own list before recreating work.

How do I sort Tasks?

The practice Tasks page opens sorted by due date, earliest first. Household Office Tasks and portal Tasks start without a column sort.

  1. On a desktop Tasks table, select a sortable column heading. Repeated selections cycle through ascending, descending, and unsorted order.

  2. To return the practice list to earliest-due-first order, select Due date until it sorts earliest first. Removing the column sort uses the returned list order, grouped by household, rather than restoring the opening due-date sort.

  3. On a small screen, use the “Sort and filter tasks” control and choose the sort you want.

Sorting changes the displayed order, not Task dates or completion status. Open and completed Tasks remain separate groups.

How do I complete or reopen a Task?

Use the checkbox beside a Task to change its completion status. Completed Tasks remain available in the completed group; completion does not delete the work record.

  1. Open Office → Tasks for the household, or the practice Tasks page.

  2. Select the Task's checkbox to mark it complete.

  3. To reopen it, expand Completed, find the Task, and clear its checkbox.

The status change saves immediately. The checkbox is labelled “Mark task complete” for open work and “Mark task open” for completed work. Search and filters also apply to completed Tasks, so clear them if the Task is absent.

For a Task linked to a Change, completion affects only the Task. Review the recommendation separately before marking the Change done. The checkboxes displayed inside a Guide's Tasks block are read-only; make status changes from a Tasks list.

How do I delete a Task?

In Office Tasks and the practice Tasks page, the row's trash icon deletes a Task immediately and offers Undo. Complete it instead when you want to retain the record as finished work.

  1. Open the household's Office → Tasks, or the practice Tasks page.

  2. Find the Task. Expand Completed if it is finished work.

  3. Select its trash icon, Delete task.

  4. If needed, select Undo in the message while it remains available. Undo restores a deleted Task with its saved links and completion date.

Deletion from a task drawer, the portal Tasks list, or a task row under a Change still asks “Delete this task?”; select Delete to proceed or cancel to keep it. Those routes don't offer the task-list Undo message. Under a Change, Backspace in an empty Task description deletes it immediately without confirmation.

Deleting a linked Task does not delete its Change. Deleting a Change preserves the Tasks but removes their link to that recommendation.

Which Tasks can a client see or edit in the portal?

The portal's Tasks page lists client-assigned Tasks for the household. Advisor-assigned Tasks are excluded from that page. This is a rule for the Tasks page, not a guarantee that an advisor-assigned Task cannot appear in a Guide.

  1. In the household's Office → Tasks, choose the household option in Assignee for work the client should manage.

  2. Have the client select Tasks in the portal navigation. The page heading is My Tasks.

  3. If a Task is missing, check the client's search and due-date filters, then expand Completed if applicable.

Clients can create a Task with New task, edit descriptions and due dates, complete or reopen Tasks, and delete Tasks from this list. Client-created Tasks are client-assigned. These are household Tasks, not private assignments to a selected adult.

Can a Guide show advisor-assigned Tasks?

A Guide's Tasks block can include advisor-assigned Tasks. Its default Assignee setting is All, and its default Status setting is All. The portal Tasks page's client-only list does not restrict the Guide block.

When editing a Guide that includes a Tasks block:

  1. Select the Tasks block to open its settings.

  2. Set Assignee to Client to include only client-assigned work. Choose Advisor or All only when that is the intended content.

  3. Set Status to Not completed, Completed, or All.

  4. Select Done, choose where the changes go, then select Save. See Delivering a Guide to a Client for the save choices and their scope.

  5. Check the saved client-visible Guide's Tasks block.

The Tasks block filters Tasks independently of any Changes block. Linking a Task to a Change, or hiding that Change's category, does not by itself hide the Task in the Guide. Guide Task checkboxes show status but cannot change it; clients complete or reopen work from Tasks in the portal.

Financial Objective, Values, Overview Goals, and Concerns blocks can also show linked advisor tasks when Show what we're doing is on. Unlike the Tasks block, these blocks omit changes in hidden categories and the tasks under them. Check both kinds of block before sharing.
